Minutes of committee meeting held at the Kaffehaus - 11th February 2009 at 9:30am

Minutes of Previous Meeting

Correspondence In

approved (proposed by Rick Harcourt, seconded by Lita Los Angeles) subject to the following correction:

  • The last issue of Village Voice ran at a loss of $50, as we received sponsorship of $250.

Business Arising

Footpaths:

Serena Gallasch was not present at the meeting, so there was no update on the footpath audit. David Haines will contact her for a progress update.

Rubbish Bins:

Phil Houston asked whether any members knew who is responsible for cleaning the new rubbish bins.
The members considered that the one outside the candlemaker’s shop should be moved to outside the Kaffehaus, two additional bins are required outside the IGA and next to the fountain in Alec Johnston Park, and a replacement bin is required next to the bus stop at Ambleside Road. Wendy Williams will write to Norm Keys at Mt Barker Council with this request (proposed by Rick Harcourt, seconded by Graham Woolford).

Correspondence In

  • The Department of Transport has telephoned Phil Houston, saying that they are waiting for the Minister before they can respond to our traffic issues.

  • An email has been received from Tracey Hall thanking the HCA for helping at the Tour Down Under, and promising a donation of $150 to our funds. This has not yet been received.

  • Mt Barker Council have informed us by letter that we were not successful with our grant application.

  • A Commonwealth grant of $3,572 has been received.

  • An acknowledgement of our registration of interest in Clean Up Australia Day has been received.

Correspondence Out

  • We have written to Patrick Conlon, Minister of Transport, regarding our traffic issues.

  • A letter has been sent to St Paul’s Lutheran Homes supporting their request for a traffic crossing by the IGA and footpath extension.

  • We have formally thanked RDMS for supporting Village Voice.

  • We have written to both the IGA and the Lions thanking them for giving us bread for the TDU, and for the loan of the BBQ trailer respectively.

Reports

Chairman’s Report:

Phil Houston gave a detailed description of the various options for purchase and maintenance of a photocopier, using the grant that we have just received. The members agreed that the Toshiba was the best solution presented, and that this should be pursued subject to the small print being acceptable (proposed by Rick Harcourt, seconded by Lita Los Angeles).

David Haines will check that the Institute’s insurance will cover the photocopier, as we propose to keep it there.

Treasurer’s Report:

We are awaiting a $150 donation from Mt Barker Council.
The BBQ raised $401.
$250 was received as a kind donation from Rick Harcourt.
$1,278 was paid for the annual insurance premium.
Total funds are $2,767, plus $2,094.69 in the Walking Trail fund (proposed by Eric Ayliffe, seconded by Margaret Brook).

Any Other Business

Tour Down Under:

The Tour Down Under fundraising efforts yielded very disappointing results, and the profits did not even fund our insurance cover. The sausage sizzle stand was in a poor location and the crowds did not buy much food.
It was suggested that we could allow the Lions to do a sausage sizzle, or similar, at next year’s event, and assist them in return for a donation to HCA. David Haines will discuss this idea with the Lions.

We are indebted to everyone who helped on that day, especially to Anne Haines with her magnificent efforts selling strawberries and cream.

Insurance:

We will reassess our insurance requirements in June. If we are not directly fundraising at the Tour Down Under, and if it is not required for the photocopier, we may feel able to cancel our policy.

Footpaths:

A letter will be sent to Lindsay Campbell, our Councillor, asking for support for:

  • The St Paul’s footpath,

  • Completion of the Main Street Manna to Auricht Road footpath,

  • Extension of the footpath from the Nursing Home to Beerenberg, and

  • Extension of the footpath from Ambleside Road to the Hahndorf Resort.

Walking Trail:

David Haines showed the meeting a model of Donald Richardson’s suggestion for a Pioneer Women’s monument, to go on the corner of Balhannah Road and Main Street. The members present had reservations regarding its practicality and aesthetic attributes, and unanimously decided not to proceed.
Margaret Brook offered to research Port Augusta’s Botanic Gardens signage, and Louise Trinkle had also seen a memorial design which may be of interest.

Generally, the members were in favour of a nice piece of stone, with a metal plaque on it showing both text and pictures.

Priorities:

Phil Houston will review the priorities list for discussion at the next meeting.

Toilets:

There is no soap in the public toilets. Eric Ayliffe and Lita Los Angeles will send a letter to Mt Barker Council asking for this to be resolved.

CFS:

It is believed that some Hahndorf CFS members may have gone to Victoria to help fight the terrible bushfires over there. If they have, we will send a letter thanking them on behalf of the community.

Closure and Next Meeting

Phil Houston declared the meeting closed.

The next meeting will be on Wednesday 11th March 2009 at 0930hrs in the Kaffehaus.
