Minutes of committee meeting held at the Kaffehaus - 14th January 2009 at 9:30am

Minutes of Previous Meeting

The previous minutes were approved (proposed by Rick Harcourt, seconded by David Haines) subject to the following corrections:

  • Correcting “Russell Harcourt” to “Russell Grivell” twice under “Insurance”

  • The Walking Trail signage comment should be attributed to Mike Hasler, not Eric Aliffe, and

  • The spelling of “Orphelia Cottage” should be corrected to “Ophelia Cottage”.

Business Arising

Priorities for 2009:

Phil Houston reminded the members that they were asked to list projects that they would like to see addressed as a priority this year. Some had done so, but it was agreed that the others could email or hand deliver their lists to Phil by the end of the week.

Walking Trail:

David Haines will bring further information to the next meeting.

Village Voice:

The last issue of Village Voice ran at a loss of $300. The major cost component is its printing, and Wendy Williams suggested an alternative printer who may be cheaper. However, Phil Houston has just received a letter informing us that we have been successful in our application for a grant. This is excellent news, however we do not know any details of the award yet, but it is assumed that this is for a photocopier.
Lita Los Angeles kindly offered to assist with the production of Village Voice if required.
Louise Trinkle asked to review the terms and conditions of any photocopier lease or support contract prior to signature.

Tour Down Under:

Mike Hasler has a roster of helpers arranged for the sausage sizzle. It will commence at 0830.
The Council will be doing most of the street decorating, from English Street to Pine Avenue.
Phil Houston briefed the meeting on traffic closure/diversion arrangements for this event.
Anne Haines will sell strawberries and cream, in addition to the sausage sizzle.

Footpaths:

Serena was not present, so this was not discussed in detail, however Lita Los Angeles is concerned about the loose gravel outside the old Waratah Garage and will contact Mt Barker Council personally using their online Customer Complaints Form.

Flower Tubs:

These have now been tidied up, and the last few to be removed from outside the restaurant will go during the next two weeks.

Insurance:

Louise Trinkle reported that our insurance was due for renewal last August. Phil Houston did not receive the reminder that was emailed by the insurance broker. Louise has sought competing quotes for the public liability cover, but the current broker provides the cheapest policy so the only alternative is to ask Mt Barker Council to include us under their policy and this will no doubt take some time to explore. The Volunteers Cover may be unnecessary, as some household policies include this type of cover or else members may feel that they are happy to sign a waiver of liability indemnifying HCA against any losses which members may incur as a result of their volunteer work. Whilst these options are being explored, the current policy will be renewed for the minimum period possible (proposed by David Haines, seconded by Margaret Brook).

Correspondence In

  • St Paul’s Lutheran Homes have written to HCA asking for support for better footpaths and a zebra crossing near the IGA supermarket. We will respond supporting this. - Action: WW

  • Clean Up Australia Day – no letter received, but we need to write and register interest. - Action: WW

  • Wirra Wirra winery have notified us of the upcoming Food and Wine Festival.

Correspondence Out

  • St Paul’s Development – letter sent to Mt Barker Council noting inconsistencies in their plans and our concerns regarding the lack of detail on proposed building materials, and asking to be included in any future public meetings and discussions. No response received to date.

  • A letter has been sent to the Lions asking for the loan of their BBQ trailer for the sausage sizzle.

Reports

Chairman’s Report:

A community representative is required for the Primary School’s governing body, as Phil Houston is resigning. Louise Trinkle offered to fill this role, and this was supported by the members (proposed by David Haines, seconded by Margaret Brook).

Treasurer’s Report:

Total funds are $3,218.24 (proposed by Eric Aliffe, seconded by Mike Hasler).

Any Other Business

Main Street Signage:

Eric Ayliffe asked how the traders feel about the Main Street signage requirements, which the Council will be enforcing later this year. Sophie reported that they agree with the requirements, but many have spent money on non conforming signage already.

Precinct Group:

Russell Grivell reported that the Precinct Group also met this morning. This group comprises Hahndorf’s liquor licencees, and has been running for the past nine years.

Phil Houston declared the meeting closed.
