Minutes of committee meeting held at the Kaffehaus - 11th March 2009 at 9:30am

Minutes of Previous Meeting

The previous minutes were approved (proposed by Wendy Williams, seconded by Graham Woolford).

Business Arising

Ongoing Projects:

Phil Houston presented his list of ongoing projects.

Lions BBQ:

David Haines reported that he was still working with the Lions to see if we could run the Tour Down Under BBQ under their auspices next year.

Walking Trail:

Village Voice:

Village Voice received $400 income from the last issue, and spent $269 on production costs. This is the first time that it has ever run at a profit! All present considered it to be an excellent issue, and were delighted with the financial outcome.

Photocopier:

Phil Houston has ordered the photocopier and is awaiting delivery advice from the supplier.

Walking Trail:

Margaret Brook has conducted further research on potential signage for the Walking Trail, and has discovered that a company called “Design Haus” makes laser cut signs which are in use at various locations including Port Adelaide and Unley. Annie Fox has drawings which may be suitable, and Margaret has been discussing potential designs with Design Haus. Margaret will pursue this further and enquire about how easily graffiti can be removed from the signs, and what warranty/guarantee Design Haus give on their work. The possibility of obtaining a grant towards the cost was briefly discussed.

Clean Up Australia Day:

David Haines reported that eighteen bags of rubbish, plus a quantity of cardboard, were collected by volunteers on Clean Up Australia Day.

Correspondence In

  • Positive Ageing Plan - Mt Barker Council have invited us to a meeting concerning their Positive Ageing Plan, and have sent a feedback/survey form for completion. WW

  • Rubbish Bins - Mt Barker Council have acknowledged receipt of our letter regarding the rubbish bins. Margaret Brook also reported to the meeting at this point that the bin in Alec Johnston Park has been overflowing.

  • Footpaths - Mt Barker Council have acknowledged receipt of our letter regarding the footpaths. An email was received stating that the footpaths are being considered in the 2009/10 budget and HCA will have the opportunity to comment at that time. Phil Houston recalled that they were included in the 2008/09 budget, but the work has not been done yet. Phil considered that we should visit Brian Clancy, who is responsible for the Council’s footpaths, and also get our local Councilors to push for this work too.

  • Potential Land Sale – a letter has been received regarding the potential sale of the land next to Ophelia Cottage. Phil Houston considered that the land should be purchased by the Council for off street parking, as the Master Street Plan calls for more such facilities. A letter will be sent to the Council pointing out this opportunity.

  • St Pauls Development – a letter was received inviting us to a meeting about the new St Pauls development, which Phil Houston subsequently attended. The plans have been revised and are now much improved, although we are still uncertain as to what type of brick will be used. David Haines commented that we now have a new Heritage Officer at the Council, and all agreed that we should invite her to our May meeting.

  • Clean Up Australia Day – a thank you letter has been received.

Correspondence Out

  • A letter was sent to Mt Barker Council voicing our concerns about the rubbish bins.

  • A letter was sent to Mt Barker Council voicing our concerns about the footpaths.

Reports

Chairman’s Report:

Phil Houston was particularly concerned about off street parking and the Ophelia Cottage opportunity, as well as the level of heavy transport on the main street. He believes that a bypass would resolve two-thirds of heavy transport issues, and completion of the Verdun freeway interchange would resolve the rest. It would be a great opportunity to push Jamie Briggs and other local politicians for this now, while the Federal Government is trying to spend money on infrastructure. A sub-committee comprising Phil, Rick Harcourt, Margaret Brook and Graham Woolford will look at this in more detail.

Eric Ayliffe later reported the following:

HCA Funds $6161.90

  • The HCA Funds include the $3572.00 Photocopier Grant, which has now been received.

    Secretary’s Expenses:

    The Secretary requested reimbursement of her expenses. It was agreed that she would hold a $100 float to cover items such as cartridges, paper and stamps (proposed by David Haines, seconded by Sophie Zervas).

    Photocopier:

    Three PIN numbers will be issued for the photocopier, to Phil Houston, Wendy Williams and David Haines. It will be kept at the Institute, and David Haines is checking that the Institute’s insurance cover is sufficient. A book will be kept with the photocopier for members to record usage.

    Rubbish Bins:

    An extra bin outside Beerenberg would be useful. Phil Houston will visit Beerenberg to ask them to request one from the Council.

    Toilets:

    Three public toilets are insufficient for the number of tourists in Hahndorf. The quality of existing toilets is poor, with rusty paper holders and no soap. The meeting felt that as an absolute minimum they should be checked and serviced three times a day. Eric Ayliffe will write to Mt Barker Council on behalf of the HCA, with a copy to the HBTA, asking for the existing toilets to be maintained and serviced properly.

    Precinct Group:

    It was noted that Russell Grivell is the HCA’s representative for the Precinct Group.

    Phil Houston declared the meeting closed.
